Privacy policy

This policy covers the TractorTrack web app (tractor-tracker.mcintosh.farm), the TractorTrack iPhone app, and this website (mcintosh.farm). They are run by McIntosh.Farm LLC, a Missouri limited liability company (“we”, “us”). Questions: support@mcintosh.farm.

The short version: we collect what’s needed to run your maintenance records and sign you in. We don’t sell your data, we don’t show you ads based on it, and you can export or delete it.

What we collect

When you sign in

  • Your email address and name, from Google or Apple when you sign in. If you use Sign in with Apple and choose to hide your email, we get Apple’s relay address instead.
  • An account identifier from Google or Apple, so we can recognize you next time. We never see or store your Google or Apple password.
  • When you were last active, and when your account was created.

What you and your farm enter

  • Farm account: its name, its members, and each member’s role.
  • Equipment: name, make, model, year, type, serial number, license plate, hour or mile readings, and notes.
  • Service and repair records: dates, readings, what was done, who did it, parts used, cost, labor hours, and notes.
  • Invitations: the email address and role of each person you invite.
  • Membership history: who joined, left or changed role, with names and email addresses, so owners can see who had access.

Everything you enter is shared with the other members of that farm account. Your name and email address are visible to them too.

Collected automatically

  • Sign-in cookie (web app): one cookie, SESSION, keeps you signed in. It’s required for the app to work. We use no advertising or tracking cookies.
  • Sign-in tokens (iPhone app): stored in the iPhone’s Keychain and removed when you sign out. Access tokens last 15 minutes; refresh tokens expire after 30 days.
  • IP address: used briefly to stop abuse (for example, limiting repeated sign-in attempts). Our network provider, Cloudflare, also processes it to deliver traffic and block attacks.
  • Server logs: which user did which action in which farm account (for example, “added a service record”), kept to troubleshoot problems and spot abuse.
  • Usage counts: totals such as the number of sign-ins or records synced, without user or account identifiers.
  • This website sets no cookies. We may use Cloudflare Web Analytics, which counts page views without cookies or tracking you across sites. Cloudflare may set a strictly necessary security cookie to tell people from bots.

What we don’t collect

No location, contacts, photos, camera or microphone access. The iPhone app contains no advertising or third-party analytics code.

How we use it

  • To provide the service: store and sync your records, sign you in, show what’s due, and send invitation emails.
  • To keep it secure and working: prevent abuse, investigate problems, and back it up.
  • To contact you about your account: service changes, security notices, and replies to your support requests. We don’t send marketing email unless you ask for it.
  • For billing, once paid plans are available (see below).

We don’t sell or rent personal information, and we don’t share it for advertising.

Who we share it with

Only these service providers, and only to run TractorTrack:

TractorTrack’s servers and databases are operated by us in the United States.

We may also disclose information if the law requires it, to protect people’s safety, or as part of a sale or transfer of the business (with this policy continuing to apply).

Your data on your iPhone

The iPhone app keeps a copy of your farm’s records on the device so it works offline. Signing out or switching farm accounts removes that copy and the sign-in tokens from the device, as does deleting the app.

How long we keep it

  • Account and farm records: while your account is active. When you delete a record, it’s marked deleted so other devices can sync the change, and removed when the farm account is deleted.
  • Invitations: expire after 7 days.
  • Server logs: up to 30 days.
  • Backups: up to 30 days, then overwritten.

When you ask us to delete your account, we delete it within 30 days. Copies in backups disappear as those backups expire.

Your choices and rights

Wherever you live, you can:

  • Get a copy of your data. Export your farm’s records as CSV files from the web app at any time, or ask us for everything we hold about you.
  • Correct it. Edit your records in the app, or ask us.
  • Delete it. See deleting your account. If you’re the owner of a farm account, you choose whether the farm’s records are deleted or handed to another member.
  • Leave a farm account. Members can be removed by the account’s owner or admins.

To exercise any of these, email support@mcintosh.farm from the address you sign in with. We’ll respond within 30 days, and we won’t treat you differently for asking.

Children

TractorTrack is for farms and businesses. It isn’t meant for children under 13, and we don’t knowingly collect their information. If you believe a child has given us information, contact us and we’ll delete it.

Security

Connections are encrypted (HTTPS). Access to each farm’s records is limited to that farm’s members. Our systems are monitored and backed up. No system is perfectly secure; if we learn of a breach affecting your information, we’ll tell you as the law requires. To report a security problem, see our security policy.

Changes to this policy

If we change this policy, we’ll update the date above. For significant changes, we’ll also email account owners before the change takes effect.
